Hubs and transfer centres

Adding a hub, receiving parcels by barcode, handing them out for delivery, transfers between hubs, the waiting report, hub stock counts, earnings and cash rules.

A hub (transfer centre) is where a shipment passes from one courier to another. One courier collects the shipment and drops it at the hub. Hub staff scan the barcode and put the parcel on a shelf. They then hand it to the courier who will deliver it, or transfer it to another hub of the same branch.

Hubs are under Hubs in the menu. Each hub belongs to one branch and only accepts that branch's orders.

Statuses

StatusMeaning
At hubThe shipment is at the hub, waiting on its shelf. No courier holds it.
In transferThe shipment left one hub and is going to another hub of the same branch. Once scanned with Receive at the target hub it is At hub again.

In the customer portal and on the tracking page the customer sees At the transfer centre instead of At hub. In these two statuses the customer is not shown the courier name, the courier location or an estimated delivery time.

Step by step: adding a hub

  1. Open Hubs from the menu.
  2. Press Add hub at the top right.
  3. Enter a Hub name (e.g. Ankara transfer).
  4. If you have several branches, choose the Branch. The hub only accepts that branch's orders.
  5. Optionally enter an Address.
  6. In Shelves, write one shelf per line (e.g. A1, A2). If you leave it empty, the shelf is typed freely when scanning.
  7. Leave Active on and press Save.

An inactive hub cannot scan and is not shown in the courier app. A hub with waiting jobs cannot be moved to another branch.

The scanning screen

Press Scan on the hub card, or open the hub and go to the Scanning tab. On the left you choose what you are doing; on the right is the large barcode field.

  1. On the left, choose Receive, Hand out or Transfer. The selected button is filled with colour.
  2. Fill in the field below it: the shelf, the courier or the target hub.
  3. Scan the parcel with the barcode reader. The reader sends Enter automatically after each scan. Without a reader, type the barcode and press Enter.
  4. Sound and colour tell you the result: a short high beep and green mean success, a long low beep and red mean an error.
  5. Scan the next parcel right away. The field clears after each scan and keeps the focus; quick scans are processed in order.

Each result shows a counter such as Parcel 2/3: how many of the order's parcels were scanned at this hub. If parcels are missing, a yellow N more parcels not scanned warning appears. The first scanned parcel of an order changes its status; later parcels are only scan records.

If the barcode is torn or unreadable, tick Barcode unreadable (typed by hand) before typing it. The record is marked as manual; the box clears itself after each scan.

In Recent scans, press the order number to open the order.

Step by step: receiving

Receiving takes the shipment into the hub. Use it for a job brought by a courier, a job transferred to this hub, or to change a job's shelf.

  1. Choose Receive.
  2. Optionally choose a Shelf. The selected shelf applies to all following scans; change it when you move to another shelf.
  3. Scan the parcels. The order becomes At hub and leaves the courier's list.

If you scan a parcel already at the hub with another shelf, only the shelf changes.

Step by step: handing out for delivery

  1. Choose Hand out.
  2. Choose the courier who will deliver from Delivery courier. The list shows active couriers of the hub's branch.
  3. Scan the parcels you hand to the courier. The job becomes Picked up with that courier, who goes straight to delivery.

You can also hand out without a barcode: on the order page press Hand out and choose the courier. The job then becomes With courier and the courier confirms Picked up in the app. For a job handed out from the hub but not yet picked up, Return to hub puts it back in the hub, not in the pool.

Step by step: transfer

  1. Choose Transfer.
  2. Choose the Target hub. The list shows the other active hubs of the same branch.
  3. Scan the parcels to send. The order becomes In transfer.
  4. At the target hub, staff scan the same parcels with Receive. The order becomes At hub there.

Transfers are only possible between hubs of the same branch. The target hub sees the job in its Waiting list as Coming to this hub.

The waiting report

  1. Open the hub and go to the Waiting tab. The At hub box on the dashboard also leads here.
  2. Use Waiting time to show only long waits (e.g. longer than 24 hours).
  3. In a hub with shelves, choose a Shelf to list a single shelf.
  4. Use Coming to this hub (in transfer) to include or exclude transfers on the way.
  5. Press a row to open the order.
  6. Press Download CSV to get the list as a file that opens in Excel.

The longest wait is at the top. Waits over 24 hours are shown in yellow, over 48 hours in red. The Parcels column shows how many parcels were scanned in (e.g. 2/3). Collecting courier is the courier who picked the shipment up from the customer.

Step by step: hub stock count

A count compares the parcels that should be at the hub with those on the shelves.

  1. Open the hub, go to the Count tab and press Start count. If a count is open, the button reads Continue count.
  2. Scan every parcel on the shelves one by one. Green: at this hub; yellow: belongs to another hub; red: extra; grey: already scanned.
  3. The boxes at the top show the live numbers: OK, Missing, Extra, Belongs to another hub.
  4. When done, press Close count and then Close and report.
  5. Review the report sections. Press an order number to open the order.

The report sections are:

The same barcode is not counted twice in one count. A closed count cannot be scanned.

Hub details on the order

On the order page a blue box shows the hub name, the shelf and the time the shipment entered the hub. For a job in transfer it shows the target hub and the time it left. Collecting courier is the courier who picked the shipment up from the customer. Press the hub name to open the hub's waiting list.

In the order list, the hub name and shelf appear under the At hub and In transfer badges. Choose At hub or In transfer in the Status filter to find these orders.

An order that passed through a hub and was picked up cannot be edited. Cancelling is also possible from At hub and In transfer.

Earnings and cash

Notifications

Settings › Notifications has two new events: Received at hub and Transfer between hubs. For these events customer SMS and e-mail and Slack/Teams notifications are off by default. To turn them on, tick Send on this event in the event's template. When a job leaves the hub for delivery, no second "picked up" notification is sent to the customer.
