Creating orders

Creating a new order in the panel; sender, pickup point and recipient, delivery type, payment method, favourites and how the price is calculated.

Turn jobs that arrive by phone or e-mail into orders from the panel. The price is calculated automatically as you fill in the form.

Step by step

  1. On the Orders page, click New order.
  2. If the job is similar to one you saved before, pick it from Fill from favourites… at the top; the form is filled in.
  3. In Payer, choose who pays: Sender, Recipient or (if there is one) Pickup point.
  4. Choose the Delivery type. Types marked "(round trip)" are round-trip jobs.
  5. Enter Waiting (min) and Weight (kg) if needed. If the parcel is collected from somewhere other than the sender, tick Has a pickup point.
  6. Fill in Sender (F1), Pickup point (F2) if used, and Recipient (F3):
  7. For a saved customer, search by name or code in Saved customer and select them. If you leave the district empty, the customer's saved district is used.
  8. Otherwise leave "— No customer record (enter manually) —" selected and choose the District. If the paying party is entered manually, you must also choose a Customer type and Price list.
  9. Enter the name, phone and address.
  10. Optionally enter a Note and a Reference no. (the customer's own tracking or waybill number), and choose the payment method.
  11. If Leave in pool stays selected in the list at the bottom right, the job goes to the pool; if you pick a courier there, the job is assigned to them directly.
  12. Check the amount shown at the bottom and click Create order.

How is the price calculated?

The price is calculated by the server, not the panel; the amount you see in the form is exactly the amount saved when the order is created. It depends on the paying party's customer type and price list, the regions of the sender's and recipient's districts, the delivery type, waiting time and weight; a bridge fee is shown separately when it applies. See Pricing basics for details.

Parcels

If the shipment has several pieces, add one parcel for each piece; every parcel gets a barcode and a printed label.

  1. In the Parcels section of the form, enter the number of parcels in Parcel count. If you leave it, 1 parcel is created.
  2. If the shipment has its own barcode, press Enter customer barcode / description and type or scan it in the matching row.
  3. If you leave the barcode box empty, the system assigns one (e.g. 1052-1).

More: Parcels and barcode labels.

Good to know

Tip: Fill in a frequent job once and save it as a template with Add to favourites. If Share with team is ticked, other staff can use it too. The reference number is not saved in templates.

The window has a Delivery code choice and Latitude/Longitude fields for each party; see Delivery code on an order and Address coordinates.
