Parcels and barcode labels
Adding parcels to an order, the customer's own barcode, printing labels (thermal, A6, A4), courier scanning, mandatory scanning and searching by barcode.
Every order has one or more parcels. Each parcel gets a barcode and a printed label. The courier scans the barcode with the phone at pickup and at delivery, so the order shows when each parcel was picked up and delivered.
What is a parcel and where does the barcode come from?
- If you do not enter a parcel count, the order gets 1 parcel.
- If you leave the barcode empty, the system assigns one in the form order no-parcel sequence: parcel 2 of order 1052 becomes 1052-2.
- If the shipment already carries a barcode (e-commerce or carrier label), you can enter it. The same barcode is then scanned without printing a new label.
- Orders imported from the old system have no parcels. Scanning rules do not apply to them.
Step by step: adding parcels to an order
- Open Orders › New order (or press Edit on an order).
- In the Parcels section, enter the number of parcels in Parcel count (at most 99).
- If the customer has their own barcodes, press Enter customer barcode / description.
- Type the barcode in the row's barcode box or scan it with a barcode reader. Empty rows get a system barcode.
- Optionally write a short Description for the parcel (e.g. "shoe box").
- Press Create order (or Save changes when editing).
Customer barcode rules
- 3–40 characters. Letters, digits and . _ / - are allowed; no spaces.
- A barcode can be on only one parcel in your firm (case does not matter). If another order uses it, you see "barcode is used by another parcel".
- The number-number form (e.g. 1052-2) is reserved for system barcodes and cannot be a customer barcode.
Step by step: printing labels
- Open the order. The Parcels card lists the barcodes.
- Choose the label size in the box at the top of the card:
- Thermal 100×150 mm: label printer (one label per page).
- A6 (105×148 mm): A6 paper or sticker.
- A4, 4 labels per page: a regular printer; 4 labels with cut lines.
- Press Print all. For a single parcel, press the printer icon at the end of its row.
- Choose your printer in the print dialog. On a thermal printer set the paper size to 100×150 mm and margins to "none".
- To print labels for several orders, tick them in the Orders list and press Print labels in the selection bar.
The chosen size is remembered in this browser. A label shows the firm name, order no, Parcel 1/3, the recipient's name, address, district and phone, the sender and the barcode.
Courier scanning
- In the app the courier opens the job, taps Scan parcel and points the camera at the barcode. A label that cannot be read can be typed in.
- The app shows a counter such as Parcels 0/3.
- Scan times appear in the order's Parcels card under Scanned at pickup and Scanned at delivery.
- If the job is given to another courier, the previous courier's scans do not count for the new one; the new courier scans the parcels again.
Step by step: making scanning mandatory
- On the Couriers page, press Courier settings.
- Under Parcel scanning, turn on what you need:
- Scan every parcel at pickup: the courier cannot tap Picked up before scanning every parcel.
- Scan every parcel at delivery: the courier cannot tap Delivered before scanning every parcel. On round trips the rule applies to the outbound delivery.
- Press Save. The courier's app gets the rule the next time it opens or the job list refreshes.
Actions taken by staff in the panel (e.g. Delivered) are not blocked by this rule.
Finding an order by barcode
- Type the barcode into the Barcode box on the Orders page, or scan it with a barcode reader.
- Press Enter. The order of that parcel is listed.
Good to know
- Once the courier has scanned a parcel, the order's parcels can no longer be changed (so labels stay valid). While the parcels stay the same, you can edit the order's other fields.
- If you lower the parcel count when editing, the last parcels are removed; system barcodes are reassigned by sequence.
Having trouble?
- "Barcode is used by another parcel": Another order in your firm has this barcode. Check it, or leave it empty to use a system barcode.
- "The number-number form is reserved for system barcodes": A customer barcode cannot have this form; leave it empty and the system assigns one.
- Thermal label prints shifted or small: In the print dialog set the paper size to 100×150 mm, scale to 100% and margins to "none".
- The courier cannot tap "Picked up": Mandatory scanning is on and some parcels are not scanned. The courier must scan the remaining parcels.
