Courier cash
Cash collected by couriers on cash-on-delivery orders, receiving handovers, corrections and the cash statement.
On cash-on-delivery orders the money stays with the courier. The Accounting › Courier cash page shows how much each courier has collected, how much they have handed over to you and how much they still hold.
Turning tracking on
- Open Accounting › Courier cash. If tracking is off, it says Courier cash tracking is off.
- Click Turn on tracking, choose the Tracking start date and click Save.
- From that date on, the amount of each cash order the courier delivers is added to the courier's cash. The date is chosen so that orders imported from the old system don't show the courier as owing money.
You can change the start date later with the Tracking button, or switch it off with Turn off tracking. If the date changes, balances are recalculated.
Step by step: receiving cash
- Choose the Start and End dates (today by default).
- The list shows Cash jobs, Collected, Handed over and Courier's balance.
- When a courier brings money, click Receive on their row.
- Enter the money you received in Amount received (the courier's balance is pre-filled), add a Description if needed and click Save.
- The Statement button shows the movements in the selected range with opening and closing balances.
Good to know
- A collection is recorded when the order is delivered, and it is the VAT-inclusive amount. Reassigned, cancelled or re-priced orders are handled automatically.
- Courier's balance is not limited to the selected range: it is the money the courier holds from the tracking start until today. A red amount means the courier is holding money.
- Handovers can't be edited or deleted. If you made a mistake, enter the same amount as a negative number with a description.
- If you have several branches, the list follows the branch selected in the top bar, so you can view one branch's couriers at a time.
- Couriers can see their own cash in the mobile app.
Having trouble?
- No Receive or Tracking buttons: you don't have permission to manage cash; the Accounting role or the company owner can do this.
- A courier shows as owing but has handed the money over: the handover may not have been entered; check the Statement.
- Old orders appear in the cash: move Tracking start to a later day.
