Charges
Amount and payment status per order, marking as paid, statements and service statements, Excel and accounting export.
A charge is the amount to be collected from the customer for an order. The Accounting › Charges page lists each order's amount, VAT, payment status and invoice status in one place.
Step by step
- Open Accounting › Charges from the left menu.
- Filter the list with Status (All, Unpaid, Paid), Start and End. The record count, Total and Unpaid amounts appear at the top right.
- To see one customer's charges, click their name in the Payer column. Click Remove customer filter to clear it.
- Tick the orders you have been paid for and click Mark as paid. If you marked one by mistake, use Mark as unpaid.
- To add a note to an order, click the pencil icon in the Description column, type it and click Save.
Documents and exports
- Service statement: the PDF icon next to the order number downloads a statement for that order; the envelope icon sends it by email.
- Statement (PDF): first select a customer plus Start and End dates; only then does the button become active. Send statement emails the same statement.
- In the email window, if Recipient email is left empty, the address on the customer record is used. You can see the delivery result in Administration › Notification log.
- Excel (CSV): downloads the list with your filters applied.
- Accounting export: downloads sales lines for import into accounting software such as Logo, Mikro or Paraşüt (account code, tax ID, net amount, VAT).
Good to know
- Amounts come from the price recorded with the order; they are not recalculated here.
- Orders showing Prepaid in the payment column were paid from the prepaid balance; marking as paid/unpaid skips them. See Prepaid balances.
- When a customer pays online, the related orders become Paid automatically. See Online payments.
- Issue invoice creates an e-Invoice/e-Archive for the selected orders. See Invoices.
- If you have several branches, the list follows the branch selected in the top bar.
Having trouble?
- No Mark as paid or Issue invoice buttons: you don't have permission to manage charges. The Accounting role and the company owner can do this.
- Statement button is greyed out: a customer, a start date and an end date must all be selected.
- Excel export failed: at most 20,000 rows can be exported; narrow the date range.
