Delivery code and location check

Make sure the shipment is handed to the right person at the right address; the one-time delivery code sent to the recipient, delivery without code, location checks at pickup and delivery, exceptions and reports.

There are two separate safeguards. Both are off by default; turn on the ones you want.

Turning on the delivery code

  1. Go to the Couriers page.
  2. Click Courier settings at the top.
  3. In the Delivery code section, turn on Require a delivery code on orders.
  4. Click Save.

From now on every new order requires a delivery code. You can change this per customer or for a single order (see below). Orders opened earlier do not change.

Customer-specific setting

You may want to always require a code for some customers and never for others.

  1. Open the customer from Customers.
  2. Choose one in the Delivery code field:
  1. Click Save.

The setting looks at the order's sender customer.

Delivery code on an order

  1. Open the New order window (or edit the order).
  2. Choose from the Delivery code list at the bottom:
  1. Save the order.

When ordering on the portal, the customer can tick Ask the recipient for a delivery code. Customers can only turn the code on; they cannot turn off a code you required.

How does the code work?

  1. When the courier first taps Picked up, the system creates a 6-digit code.
  2. The code goes only to the recipient: by SMS, and by e-mail if the recipient has an e-mail address. It is not shown to the sender, the courier or you.
  3. At delivery the courier asks the recipient for the code and types it in the app.
  4. If the code is correct, the delivery is completed. If not, the courier tries again.
  5. After 5 wrong entries in a row the code is locked. While locked, even the correct code is not accepted.

The courier can also resend the code from the app (at most 5 times). On a round trip the code is required at the outbound delivery; the return leg and the return-to-sender delivery do not require a code.

Delivery code card

On the detail page of an order that requires a code, the Delivery code card shows:

Buttons on the card:

  1. Resend: A new code is sent to the recipient; the old code stops working and the attempts are reset. There must be at least 60 seconds between two sends. Only for a job that is with a courier and not yet delivered.
  2. Unlock: Unlocks a locked code. The code stays the same and the attempts are reset. Use it when the recipient knows the code but the courier mistyped it.
  3. Allow delivery without code: See below.

In the order list, orders that require a code have a small shield icon in the status column; it is red when locked.

Delivery without code

If the recipient did not get the SMS or has no phone, you can allow delivery without the code. The reason is always recorded.

To allow the courier:

  1. Open the order and click Allow delivery without code on the Delivery code card.
  2. Write a short explanation in Reason (required) (e.g. the recipient did not get the SMS, verified by phone).
  3. Click Save. The courier can now deliver without entering the code.

When you deliver from the panel yourself:

  1. Click Deliver on the order.
  2. A yellow warning appears in the window. Fill in Reason for delivery without code (required).
  3. Fill in Received by and click Save.

In bulk delivery, if any of the selected orders require a code, one reason is asked for and written to all of them.

Notification template

The code is sent with the Delivery code event under Settings › Notifications › Event templates.

  1. Find the Delivery code row in the table and open the SMS or e-mail channel.
  2. You can change the text. The text must contain {delivery_code}; if the English text is filled in, it must contain it too.
  3. Click Save.

Rules:

Turning on the location check

  1. Open Couriers › Courier settings.
  2. In the Location check section choose a mode for At delivery and At pickup:
  1. Enter meters in Radius (50–5000, default 300).
  2. Click Save.

We recommend starting with Warn. Watch the list for a few days; if the address coordinates are right, switch to Block.

Address coordinates

The location check needs the latitude and longitude of the address. Addresses without coordinates are not checked (it shows Address has no coordinates).

  1. In the order window each party has Latitude and Longitude fields.
  2. In a map app, long-press the address and copy the coordinates (e.g. 41.0082, 28.9784).
  3. Paste them into Latitude; they are split into the two fields automatically.
  4. Enter both or leave both empty. If only one is filled in, the order cannot be saved.

Coordinates are entered on each order (the customer card has no coordinates). On the order detail, the pin next to the stop opens the coordinates on a map.

Location checks

The Location checks card on the order detail shows every pickup and delivery step:

Location exception

In Block mode, if the courier is at the address but the step is rejected (e.g. the address coordinates are wrong):

  1. Open the order and click Grant location exception on the Location checks card.
  2. Fill in Reason (required).
  3. Click Save. The courier retries the step; pickup and delivery steps of this order are now accepted.

The exception is valid for the whole order. Checks are still recorded and show "accepted by exception". No exception can be granted on a completed or cancelled order.

List and dashboard

  1. On the Orders page click More filters.
  2. From the Location check list choose Outside radius, Low location accuracy, No courier location, Address has no coordinates, or Problematic (all) for all of them.
  3. Problematic orders show a red or yellow location badge in the status column.
  4. Export to Excel uses the same filter; the file also has delivery code and location columns.

On the Dashboard, if any orders were delivered outside the radius in the selected period, the Deliveries outside radius card appears. Click it to open the list of these orders.
