Cash on delivery

Collecting the goods price from the recipient — settings, entering the amount on an order, cash/card collection at delivery, payment link (QR), handover to the till, remittance to the customer, receipt, cancellation and reports.

With cash on delivery the courier collects the goods price from the recipient on behalf of your sending customer. The money stays with the courier first, then in the company till; when due it is remitted to the customer minus your service fee. The delivery fee is separate and is invoiced as usual. Courier earnings are not affected by cash on delivery.

Settings

  1. Open the Settings › Cash on delivery tab.
  2. Tick Allow a cash on delivery amount on orders.
  3. Enter the fee you charge the customer in Service fee (%) and Fixed service fee (both can be used together; 0 means none).
  4. Choose the remittance due date: Business days after collection (weekends excluded, 0 is the same day) or Once a week.
  5. Optionally turn on Offset the customer's unpaid delivery fees on remittance, Offer a card payment link (QR) at the door and Do not remit cash before it is handed over to the till.
  6. Click Save.

The payment link requires online payment to be set up for your company (Settings › Payment and bonus).

Entering the amount on an order

  1. In the New order form choose a registered customer as the sender.
  2. Enter the amount to collect from the recipient in Cash on delivery amount (e.g. 1250.00). Leave it empty for no cash on delivery.
  3. Save the order. The list shows a COD badge and the amount in the status column.

Until it is collected the amount can be changed by editing the order, or removed by clearing it. Your customer can also enter an amount on their own order in the portal.

Collection at delivery

  1. When delivering, the courier takes the amount and chooses Cash or Card in the app.
  2. If you record the delivery from the panel, the delivery window also shows the amount and a Cash / Card choice; pick the right one and click Save.
  3. Cash collected is recorded against the courier; card collections go straight to awaiting remittance.

The Cash on delivery card on the order detail shows the amount, status, collection method, service fee and remittance due date.

Payment link (QR)

  1. Open the detail of an order awaiting collection.
  2. Click Payment link / QR on the Cash on delivery card.
  3. The recipient scans the QR code with their phone and pays by card, or you copy the link and send it to them.
  4. When the payment completes the order is collected with the Payment link method.

Handover to the till

  1. On Accounting › Cash on delivery open the Daily courier reconciliation tab and choose the day.
  2. The courier's row shows Cash with courier; when the courier brings the money click Receive into till.
  3. Untick orders you are not receiving and click Save.
  4. Handovers are listed on the Till handovers tab.

Remittance to the customer

  1. On the Customer balances tab click Transfer on the row of a customer with a remittable amount.
  2. If needed, use Select orders one by one to pick only some orders; check the offset option.
  3. The Remittance preview shows the gross amount, service fee, offset delivery fees and the net amount payable to the customer.
  4. Enter Payment method, Payment date and any Receipt / reference no, then click Save remittance.
  5. Send the money to the customer from your bank separately; the system does not move money, it only keeps the record.

Receipt

  1. Open the remittance on the Remittances tab.
  2. Click Download receipt; the PDF lists the orders, deductions and the net amount.
  3. Your customer can download the same receipt from the Cash on delivery page in the portal.

Cancellation

  1. Open a wrong remittance on the Remittances tab, click Cancel remittance and enter a Cancellation reason.
  2. Its orders await remittance again and offset delivery fees become unpaid again. You must recover any payment made to the customer separately.
  3. Undo a wrong till handover with Cancel till handover on the Till handovers tab. If any of its orders are in a remittance, cancel the remittance first.

Records cannot be edited; to correct one, cancel it and enter it again.

Reports

  1. On the Orders tab filter cash on delivery orders by status, customer, courier and date; use Overdue only to see late remittances.
  2. Use Download CSV on each tab to take the list into Excel.
  3. If you have several branches, lists follow the branch chosen in the top bar.
