Special days
List of customers' and contacts' birthdays and special days, whether the automatic message was sent, and the daily digest sent to the firm.
Birthdays and special days (such as a founding anniversary) entered on customer cards are gathered on this page. Open it with Special dates under Customers in the left menu. If you have set up an automatic greeting, the system sends the customer an SMS or email on that day, and also tells you with a daily digest.
List
- Use the buttons at the top to choose the next 7, 14, 30 or 60 days.
- Each row shows the date, how many days are left, the customer, the type of day and the status of the automatic message.
- Today's special days are highlighted in yellow.
- Click a customer name to open the customer card.
- Types: customer's birthday, contact's birthday (with the contact's name) and special day (with its name).
- Inactive customers and inactive contacts are not listed.
Calendar
Switch the view with the List / Calendar buttons at the top. The chosen view and month stay in the address bar; sharing the link opens the same month.
- Click Calendar. This month's calendar opens.
- Change the month with the arrows; Today returns to this month.
- Customer special days appear as yellow labels with the customer's name. Birthdays and special days repeat on the same day every year.
- Public holidays (red), religious holidays (green, eves are half days), holy nights (blue) and special days such as Mother's Day (purple) are shown too.
- Click a day. Below the calendar you see that day's customers, the kind of day and the automatic message status. Click a customer's name to open the customer card.
- On a phone the days show coloured dots and a list of days with entries appears below.
Automatic message status
Each badge on a row shows one automatic rule:
- Scheduled: The send day or hour has not come yet.
- Sent: The message reached the person.
- Not sent: The rule ran but the message did not go to the person. The phone or email may be missing, the person may not have given commercial message consent, or they may be excluded from sending.
- Missed: The send day has passed but the rule did not run, for example because the rule was enabled later. Rules do not run retroactively.
- No rule: There is no active automatic rule of this type.
To add or change a rule, press Automatic rules at the top right.
Daily digest
Every day the system tells the firm about upcoming special days:
- The owner and managers receive an email. It lists special days from today for the number of days you choose, with their automatic message status.
- If a customer has a special day today, staff who manage customers also get a push notification in the app. Tapping it opens this page.
- Each user can turn the push off with the Customer special days option on their own Notification settings page.
- The digest is sent once a day. If there are no special days coming up, no email is sent.
The settings are in the Daily digest card at the top of the page. Only users with settings permission see this card:
- Turn the digest on or off with Send digest.
- In Days covered, enter how many days ahead to list (0 to 30; 0 means today only).
- Choose the hour from Send hour.
- Press Save.
Having trouble?
- A customer is not listed: No birthday or special day is entered on the customer card, or the customer or contact is inactive.
- Status is "Not sent": Check the customer's phone or email and their commercial message consent.
- The digest email does not arrive: Check that Send digest is on and that your account has an email address. The digest goes only to the owner and managers.
- No push arrives: Notification settings › Customer special days must be on in the app. The push is sent only when a customer has a special day today.
