Importing customers and couriers from Excel
Instead of entering customers or couriers one by one, fill in Courino's Excel template and upload it; preview, rows with missing details, updates and the error report.
If you already have a list of customers or couriers, you don't need to enter them one by one. Fill in the Excel template Courino gives you and upload it; the system checks every row, adds or updates complete rows, and tells you row by row what is missing in the others.
How it works in short
- The code column identifies each record. For customers it is Customer code, for couriers Courier code.
- If the code in the file does not exist yet, the record is added.
- If the code exists and some details differ, only the changed details are updated.
- If the code exists and nothing has changed, the row is skipped (left untouched).
- A row with missing required details or an invalid value is not added. At the end you see which row, which person and what was missing.
- On an existing record, a cell you leave blank does not erase the stored value.
- Uploading is first a preview: nothing is saved. It is saved when you confirm.
- A file can have up to 5000 rows and must be at most 5 MB.
- Adding records one by one (New customer / New courier) keeps working as before.
Step by step: uploading a file
- On the Customers (or Couriers) page, click Import from Excel.
- Click Download Excel template. The template is prepared with your company's lists.
- Open the file in Excel. The first row holds the column headers; do not change them.
- Columns with red headers are required. Read what to enter on the Notes sheet.
- Delete the grey example row or overwrite it with your own record.
- Put each record on its own row. Save the file as .xlsx.
- Back on the page, pick your file in the Excel file box.
- Click Check (preview). The table shows what will happen to each row.
- Read the reason for Cannot import rows in the Details column.
- When ready, click Import N records. Rows to add and update are saved.
- If some rows could not be imported, click Download error report, fix them and upload again on the same page.
Statuses in the preview
- Will be added: the code does not exist; a new record will be created.
- Will be updated: the code exists and some details differ. Changed lists the columns that will change.
- No change: the code exists and the details are the same; the row is skipped.
- Cannot import: a required detail is missing or a value is invalid. This row is neither added nor updated.
Customer template
- Required: Customer code, Customer name, Customer type, Price list, Area, Address.
- Optional: province, district, phone, mobile phone, e-mail, SMS and e-mail notifications, VIP, tax office, tax / ID number, birth date, status.
- Customer type, price list and area must be one of the names on the template's Lists sheet.
- Customer codes are case-sensitive: "M-1" and "m-1" are two different codes.
- Importing does not open portal login accounts for customers. See Customer portal accounts.
Courier template
- Required: Courier code, Full name, Earnings rate (%).
- Optional: mobile phone, phone, e-mail, national ID, branch, area, vehicle plate, address, blood group, hire and leave dates, IBAN, IBAN holder, notes, status.
- Courier codes are not case-sensitive: "K-1" and "k-1" are the same courier.
- Branch is used only for new couriers. Change an existing courier's branch with Change branch on the courier card.
- Importing does not open courier mobile app login accounts. Open the account from the courier card or with an invitation (Adding couriers).
- If your package's active courier limit would be exceeded, no row is saved; read the warning and upgrade your package or mark some couriers Inactive.
Why is a file rejected?
A file that does not match the template is rejected as a whole; no row is imported. A file is rejected when:
- It is not an .xlsx file (CSV, old .xls, PDF and so on).
- A column is missing, a header has been renamed, or an extra column not in the template was added.
- A column has no header but contains data.
- The header row is not on row 1 (a title or blank row was added above it).
- The data is on another sheet, or another template was uploaded (e.g. the courier template on the customers page).
- The template is an old version.
The screen lists the missing or unexpected columns one by one. The easiest fix is to download the template again and copy your data into its columns. You may change the order of the columns.
Having trouble?
- It says "not in the list": copy the customer type, price list, area or branch name from the template's Lists sheet.
- It says "matches more than one record": an area with the same name exists in several districts; fill in the Province and District columns.
- It says the code appears more than once in the file: the same code is on two rows; delete one.
- A date is not accepted: write dates as DD.MM.YYYY (e.g. 15.04.1990).
- There is no Import from Excel button: you need the manage customers (or manage couriers) permission. Ask your administrator (Users and permissions).
